Frequently asked questions

Individuals and families

How much will the IRS refund me, or how much will I owe?

It depends on how much you earned, how much tax was withheld or paid during the year, and the credits you qualify for. If you paid too much, the IRS refunds the difference; if you paid too little, you owe. If you e-file with direct deposit, the IRS issues most refunds in less than 21 days. We show you the result before we file.

What documents do I need to file my taxes?

Photo ID, the Social Security number or ITIN for everyone on the return, and all your income forms: W-2, 1099 and others. If you have Marketplace health insurance (Obamacare), bring Form 1095-A. It also helps to bring last year's return, child care expenses with the provider's details, your IP PIN if you have one, and your bank account for direct deposit.

What is the filing deadline, and what happens if I'm late?

For most people, April 15. You can request an extension to October 15, but an extension gives you more time to file, not to pay: if you owe, interest and penalties run from April. If you missed prior years, you can still catch up; the sooner you do it, the lower the charges.

Can I claim my children or other relatives as dependents?

Sometimes. For a child, the IRS looks at the relationship, age (under 19, or under 24 if a full-time student), whether the child lived with you more than half the year, and whether the child supports themselves. For other relatives, such as your parents, it matters how much they earn and whether you pay more than half of their support. Each dependent needs an SSN or ITIN, and some credits require an SSN.

Can you help me if I don't have a Social Security number (SSN)?

Yes. If you can't get an SSN, you can file with an ITIN. You apply with Form W-7, usually together with your tax return, plus your passport or other identity documents. An ITIN that isn't used on a tax return for three years in a row expires and must be renewed. We help you apply or renew.

If I worked on a 1099 or for myself, what expenses can I deduct?

The ordinary and necessary costs of doing your work: tools, supplies, uniforms, software, advertising, and the share of your phone and car you use for work. Keep in mind: if you earned $400 or more as a self-employed worker, you also pay self-employment tax (15.3% for Social Security and Medicare). Keep your receipts, use a separate account and consider quarterly estimated payments.

What should I do if I got a letter from the IRS?

Don't ignore it. The letter explains what happened, the amount if any, and the deadline to respond. Bring it in or upload it to the secure portal and we review it with you so you respond on time. Be wary of calls, texts or emails claiming to be the IRS: the IRS usually contacts you first by mail.

How much does tax preparation cost?

It depends on the work your return needs: a single W-2 is not the same as a business with employees. It's like a car repair: we review your case first and give you the price before we start, with no surprises. Each service shows a starting price.

Businesses

Which is better for me: an LLC, a corporation, or being self-employed?

It depends on your work, your profits and your business risks. An LLC separates your personal assets from business debts, but on its own it doesn't lower taxes: a single-member LLC files like a self-employed person unless it elects to be taxed as an S corporation or a corporation. In Florida, an LLC registers with Sunbiz and files an annual report. We review your numbers before you decide.

What business expenses can I deduct: car, gas, phone, meals or a home office?

Those that are ordinary and necessary for your business, with rules. Your car is deducted by business miles (using the IRS standard rate) or actual expenses, and commuting from home to work doesn't count. Business meals are generally 50% deductible. A home office only counts if the space is used regularly and exclusively for the business. Anything you also use personally must be split.

How do I pay myself as an owner: payroll, draws or distributions?

It depends on how your business is taxed. If you're self-employed or your LLC is taxed as a partnership, you take owner's draws from the profits and don't run payroll for yourself. If your company is an S corporation, the IRS expects you to pay yourself a reasonable salary through payroll before taking distributions. In a C corporation, you receive a salary and, separately, dividends.

Should I give a W-2 or a 1099 to the people who work with me?

It depends on how much control you have over their work, not on what's more convenient. If you decide how, when and with what tools they work, they're usually an employee: they get a W-2, with payroll and withholding. If they're an independent business that controls its own work, they get a 1099-NEC when you pay them more than the IRS minimum. Misclassification can bring penalties and back taxes.

What taxes does my business have to pay, and when are they due?

It depends on your work and whether you have employees. The most common in Florida: federal income tax on profits (with estimated payments in April, June, September and January), federal payroll every quarter (Form 941), Florida reemployment tax every quarter (RT-6), sales tax if you sell products or certain services, and the Sunbiz annual report by May 1. Florida has no state personal income tax. We build your calendar.

What's the difference between bookkeeping and tax preparation? Do I need both?

Bookkeeping records what comes in and goes out of your business throughout the year. Tax preparation uses that information once a year to calculate and report your taxes. You always need to keep your books; you can do it yourself or hire us. With up-to-date books, your return is faster, has fewer errors and doesn't miss deductions.

How can I know how much my business is really making?

With a monthly profit and loss statement: record everything you sell and everything you spend. If you sold $1,000 and spent $700 to make those sales, you have $300 in profit before taxes. Using a bank account only for the business and keeping receipts makes that number reliable.
